How to set email size limits in Exchange Server?
(2000 and 2003 exchange server)

There are several places you need to set the the email size limits in your network.

1. Global setting : This set the limit size for outgoing, incoming, and internal emails for your organization.

  • In Exchange System Manager – expand ‘Global Setting’
  • Right click ‘Message Delivery’ and choose ‘Properties’
  • Click the ‘Default’ tab

2. SMTP server: This set the limit size for email passing through the SMTP virtual server

  • In Exchange System Manager – expand ‘Administrator Group’
  • Find your Exchange server in the ‘Server’ section
  • Goto ‘Protocol’ and choose ‘SMTP’
  • Right click ‘SMTP Virtual Server name’ and choose ‘Properties’
  • Choose the ‘Messaging’ tab to set the maximum email size limit

3. Connector setting: This set the email size limit allowed to pass through the connector

  • In Exchange System Manager – expand ‘Administrator Group’
  • Choose the ‘Routing Group’ and expand until you see the ‘Connector’ option
  • Right click the connector and choose properties
  • In the ‘Content Restrictions’ tab, set the ‘Only message less than (KB)’ option

4. User mailbox: This setting set the size limit allow per user

  • In Active Directory Users and Computers, right click the user and choose properties.
  • Go to the ‘Exchange General’ tab and set the ‘Delivery Restrictions’

* Remember all internet emails use the Global email limit setting. So if you have the Global email limit setup to 10MB and per user’s email address is 15MB. Users will only be allowed to send emails with 10MB size, otherwise they will receive a NDR similar to the following.

This message is larger than the current system limit or the recipient’s mailbox is full. Create a shorter message body or remove attachments and try sending it again.
